Define the job the keycaps need to do
Choose the main purpose: employee onboarding, an office refresh, an event gift or branded merchandise. Then decide whether everyone receives one design or whether teams need different versions. This changes the artwork files, quantities and review work. Keep everyday legends readable, especially on keyboards used for work.
Count sets by keyboard and layout
List the keyboard brand and model, ANSI or ISO layout, language and number of users. A simple table with one row per model is more useful than a single total. Record any spare sets separately. A shared brand design may still need different Enter, Shift, spacebar or bottom-row keys; the label “75%” or “full-size” is not enough to confirm fit.

Prepare one design reference

Agree the details before committing the batch
- Confirm keycap material, profile, printing method and compatibility.
- Ask which sample or design-review options suit this project.
- State the required arrival date and delivery country, including any split deliveries.
- Record the agreed quantity, design versions, packaging and production schedule together.
Send a brief that can be quoted
Include the company contact, quantity by model, design files, intended use and target date. DIYKeycap reviews bulk projects through its own factory.
