A small company mascot on the Escape key can make a familiar desk feel more personal. A coordinated set can carry the same idea across a whole team. The difficult part comes when the attractive preview has to become one precise order: which artwork, which keyboards, which quantities, and which version?
This guide helps a project owner turn a chosen concept into a usable specification. It is not a promise of an additional proofing service. For a self-service order, review and confirm the design in the editor before checkout. For a negotiated bulk project, record the review and production arrangements agreed with DIYKeycap.
First decide what you want people to notice
Imagine a fictional software team with an original leaf mascot. It wants a recognizable gift that employees will enjoy using after the launch event. There are two sensible directions, with different decisions to make.
A quiet accent: place a simplified leaf on an accent key and keep the everyday typing area restrained. This suits a company that wants a personal detail without turning every desk into an advertisement. Supply the original mascot artwork plus a version without the tiny slogan. Identify the exact key and keyboard model; ordering an accent key by itself is a separate supply and quantity question.
A coordinated full set: use the team's colors on the modifiers and place the mascot where it does not compete with essential legends. This gives the strongest overall identity, but each keyboard needs the right key inventory. The next decision is whether every employee receives the same artwork or whether names, departments or language legends vary.
Choose the direction before discussing finishing touches. “Use our brand” leaves much more unresolved than “use the simplified leaf on Escape, preserve typing legends, and keep the letter area neutral.” These are planning examples, not completed customer orders.
Review the composition at the size people will actually see
A logo that looks clear on a presentation slide may become a collection of tiny lines on a key. Look at the proposed artwork in context and at a realistic viewing size. Decide which features make the character recognizable: perhaps its outline and two leaves matter more than the small lettering underneath.
Compare a detailed and a simplified version using the same intended placement. Check whether the subject remains recognizable, whether its edges run into the proposed print boundary, and whether a nearby legend is still easy to read. Ask about the actual usable print area for the selected key and process. Do not assume one universal minimum line width or safe margin.
Keep the editable original and the chosen simplified version. A screenshot is useful for pointing to a position; it should not be the only source for artwork that needs to be reproduced. Our company logo artwork guide explains what to include with those files.
Confirm the physical keys separately from the characters
“German keyboard” does not identify every physical key. Record the exact keyboard model, then check its physical arrangement, key widths, profile and mounting connection. A profile is the shape and height of the keycap; keys in different rows may have different shapes even when they have the same width.
For a mixed team, create a line for each actual model. Compare Enter, both Shift keys, the spacebar and the bottom row with the proposed key inventory. Separately check the printed characters: German QWERTZ, French AZERTY or another required legend arrangement. Changing printed characters does not turn an ANSI keyboard into an ISO keyboard.

Put the selected design and quantity in one record
Here is a filled planning example. The quantities illustrate record keeping; they do not establish that a supplier will combine different variants under one minimum order.

This is more useful than approving a picture with “looks good.” It tells the project team what is settled and stops an attractive mockup from being mistaken for confirmation of unresolved specifications.
Keep preview approval within its real limits
The DIYKeycap design entry offers 2D and 3D editors. Use the available preview to review placement, legends and the overall color arrangement. Screen settings and lighting affect how colors appear; a rendered image cannot establish exact physical color, texture or fit.
If a bulk project requires a physical sample or another review method, discuss its availability, cost, specification and timing as part of that project. Do not assume a retail order includes an extra sample or another approval round. A sample from a different material, profile or printing process cannot settle every question about the proposed batch.
Make later changes visible
Suppose revision 04 makes the mascot larger. That may seem like a small graphic edit, but it changes the artwork being requested. Write down which file changed and which earlier version it replaces. If the change also adds a different layout or another personalized name, update the quantity record too.
Once an order has been placed or a production reference has been agreed, contact DIYKeycap about the change. Do not assume a later editor save or a message attachment automatically changes an existing order. Any effect on feasibility, price or timing needs confirmation for that project.
